This Cookies Notice is issued by YourCalls.ai Ltd (trading as YourCalls), a company registered in England and Wales with company number 17476486, whose registered office is at 4 The Glebe, London, United Kingdom, SE3 9TJ.
This Cookies Notice explains the cookies and similar technologies used on the YourCalls platform (the Platform), on this legal documents site and on the YourCalls pages of our website, what they do, and the choices available to you.

1. WHAT COOKIES AND SIMILAR TECHNOLOGIES ARE
1.1 A cookie is a small text file that a website stores on your device and can read back on a later visit. Cookies set by the site you are visiting are called first-party cookies; those set by another organisation whose code runs on that site are called third-party cookies.
1.2 Similar technologies include browser local storage and session storage, which hold information on your device in the same way but are not sent back to a server with every request. Where this notice refers to cookies, it means cookies and those similar technologies together, unless we say otherwise.
1.3 A cookie is described as a session cookie if it is deleted when you close your browser, and a persistent cookie if it remains until it expires or you delete it.
2. WHAT WE USE, AND WHAT WE DO NOT
2.1 The Platform uses two kinds of cookies:
(a) cookies that are strictly necessary for the Platform to work, or functional, meaning they remember a choice or preference you have expressed so the Platform behaves consistently between visits. These are listed in section 3.1 and section 4.1. They do not need your consent, and they are set whatever you choose about analytics; and
(b) analytics cookies and device storage used by our product analytics and error-tracking provider, PostHog. These are used only if you accept them. They are listed in section 3.2 and section 4.2.
2.2 We do not use advertising cookies, and we do not use cookies to track you across other websites. We do not use Google Analytics or Google Tag Manager. We do not sell or share information collected by cookies for advertising purposes.
2.3 Your choice. When you first use the Platform, a banner asks whether you accept analytics cookies. It offers two buttons of equal size and style, Reject and Accept analytics, and neither is selected for you. Until you choose, no analytics cookie or analytics device storage is set, and no analytics or error event is sent to PostHog. You can change your choice at any time, as described in section 8.
2.4 If you accept, PostHog stores the identifiers described in sections 3.2 and 4.2 on your device. Your use of the Platform (for example the pages you visit, the buttons you click and any errors you encounter) is recorded against those identifiers and, once you are signed in, against your account identifier and your organisation's account, so that we can understand how the Platform is used and fix faults.
2.5 If you reject, PostHog stores nothing on your device. The Platform still sends PostHog anonymous records of pages visited, clicks and errors, so that we can count usage and be alerted to faults. These records carry no identifier from your device and are not linked to your account or your organisation. To count visits, PostHog's servers derive a temporary identifier from a one-way hash of your IP address, your browser's user-agent string, the website address and a random value that changes every day. Because that value changes daily, the identifier changes every day and cannot be used to follow you from one day to the next. Our PostHog project is set not to store IP addresses.
2.6 Before and after you choose, each time a Platform page loads your browser fetches PostHog's configuration file through our address t.yourcalls.ai. Like any web request, it carries your IP address and browser details. It stores nothing on your device and records no analytics event.
3. COOKIES WE SET ON THE PLATFORM
3.1 Strictly necessary and functional cookies. These are set whatever you choose about analytics.

3.2 Analytics cookie (only if you accept).

3.3 The PostHog cookie is set on the .yourcalls.ai domain, which means it can be read by other YourCalls sites on that domain. None of our other sites reads it. PostHog processes the data it receives on its EU cloud, which is hosted in Frankfurt, Germany.
3.4 If you reject analytics cookies, or change your choice from accept to reject, the PostHog cookie and all of the PostHog device storage in section 4.2 are deleted. Any PostHog cookie or storage left on your device from an earlier version of the Platform is deleted the next time the Platform loads, unless you have accepted analytics cookies.
3.5 An earlier version of the Platform recorded that you had seen a cookie notice in a cookie and local storage entry called yc_cookie_consent. That record is no longer used as consent. It is deleted the next time the Platform loads, and you will be asked to choose again.
3.6 The names and number of the authentication cookies in the last row of the table in section 3.1 are determined by our authentication provider and may change when it updates its software. Their purpose does not change.
4. OTHER INFORMATION STORED ON YOUR DEVICE
4.1 Strictly necessary and functional storage. The Platform stores the following in your browser's local storage or session storage, whatever you choose about analytics. This information stays on your device and is not transmitted to us with each request.

4.2 Analytics storage (only if you accept).

4.3 Sign-up progress. While you complete the sign-up and onboarding steps, the Platform writes session storage entries whose names begin yc:onboarding:entered, followed by your account identifier and the step name. They stop the same step being counted twice in our own records of how far new customers get through sign-up, which we hold in our own database. The same milestones are also sent to PostHog as analytics events, on the terms described in section 2 for your choice. The entries are deleted when you close the tab.
5. THIRD PARTIES WHOSE CODE LOADS ON THE PLATFORM
5.1 The Platform loads an integrations software development kit from Zapier Inc. (United States) from that provider's content delivery network on every page, so that customers can build and manage integrations from within the Platform. Because the file is served by that provider, it will observe that a page has been loaded, together with your IP address and browser information. We do not use it to place advertising cookies.
5.2 Our hosting providers process technical information such as IP addresses in order to serve pages. That processing is described in our Privacy Notice rather than here, because it does not rely on cookies. PostHog's software also loads on every Platform page; what it stores and sends depends on your choice, as described in sections 2 to 4, and its processing is described in our Privacy Notice.
6. THE CHAT ASSISTANT ON OUR CUSTOMERS' WEBSITES
6.1 Our customers can embed a YourCalls chat assistant on their own websites. That assistant writes a persistent identifier to the visitor's browser local storage so that a returning visitor's conversation can be recognised. The chat assistant does not load PostHog or any other analytics software.
6.2 That identifier is written on our customer's website, not ours. Obtaining any consent required for it under the Privacy and Electronic Communications Regulations, and displaying the customer's own cookie and privacy information, is the responsibility of the business operating that website. Our customers' obligations in this respect are set out in our Terms and Conditions and our Data Processing Addendum.
7. OUR WEBSITE AND THIS LEGAL DOCUMENTS SITE
7.1 Our website uses Vercel Web Analytics, a privacy-focused analytics service provided by Vercel Inc. (United States), to count page views and measure traffic. It is cookieless: it sets no cookies and stores no identifier on your device. You can decline it through the banner on our website.
7.2 The contact page on our website embeds Google's appointment scheduling product so that you can book a meeting with us. That embed is served by Google, which will receive your IP address and the details you enter when you book.
7.3 This legal documents site (https://legal.yourcalls.ai) sets no cookies, stores nothing on your device and uses no analytics.
8. HOW TO MANAGE COOKIES AND CHANGE YOUR CHOICE
8.1 Changing your analytics choice. You can change your choice at any time by selecting Cookie settings in the footer of the Platform pages that display one. This reopens the banner, shows your current choice and lets you choose again. You can also clear the yc_cookie_consent_v2 cookie and local storage entry (or all of the Platform's site data) in your browser, and the banner will ask you again on your next visit. Withdrawing consent is as easy as giving it, and does not affect anything else about your use of the Platform.
8.2 Every major browser lets you see the cookies stored on your device, delete them, and block them in future. Instructions are published by each browser vendor and are usually found under Settings, then Privacy.
8.3 Blocking the strictly necessary and functional cookies in section 3.1 will prevent the Platform from working. You will not be able to stay signed in, your analytics choice will not be remembered, and preferences such as the sidebar state will not be remembered. Blocking or deleting the analytics cookie in section 3.2 does not affect how the Platform works.
8.4 Clearing your browser's local storage will remove the items in section 4. Other than your analytics choice, which you will be asked for again, nothing will be lost: they will be written again as you use the Platform.
9. UPDATES TO THIS COOKIES NOTICE
9.1 We may update this Cookies Notice from time to time, for example if we begin using a new technology or change provider. The version published at https://legal.yourcalls.ai/cookies applies. Where an update is material, we will bring it to your attention.
